AI invoice and document automation reads the invoices, forms and contracts that arrive by email, pulls out the fields, enters them into your accounting or your sheet and flags anything it is not sure about for a person. For a small business it costs from $2,000 fixed with us and goes live in 1-2 weeks.
01The job
What the system actually does with a document
- Catches the document where it arrives. Email attachment, a shared folder, a Telegram photo of a receipt, a form on your site.
- Reads it. PDF, scan or photo, in Russian, English or the local language. Supplier, number, date, line items, amounts, VAT, due date.
- Checks it. Does the total match the lines, is the supplier known, is this a duplicate, is the VAT rate plausible.
- Writes it. Into your accounting system, your ERP or a plain spreadsheet, with a link back to the original file.
- Asks when unsure. A field it could not read with confidence goes to a person with the document open at the right spot. Nothing is entered silently.
The same pattern works for incoming orders, applications, delivery notes, contracts and any other paper that has fields in it.
02Accuracy
How accurate it is, and why a person stays in the loop
On clean PDFs from regular suppliers the system reads the standard fields correctly in almost every case. On photos of crumpled receipts and unusual layouts it is less sure, and that is exactly where it stops and asks. Every field carries a confidence score, and you set the threshold, for example anything below 95 percent goes to a person. The honest promise is not zero errors, it is zero silent errors.
03Price
What document automation costs for a small business
Three ways to stop typing invoices
| What you get | Price | Time | |
|---|---|---|---|
| OCR feature in your accounting software | Reads standard fields from clean PDFs, no checks, no routing of unsure fields | included or $10-30 a month | an hour |
| Built with us | Reads any format in three languages, checks totals and duplicates, writes into your system, asks a person when unsure, three months of fixes | from $2,000 fixed | 1-2 weeks |
| Enterprise document platform | Hundreds of document types, workflows, audit trails, user licences | $10,000 and up a year | 1-3 months |
Model usage on top is paid to the vendor and for a few hundred documents a month is tens of dollars. The back-office calculator prices one invoice entered by a person against one read by a model, with the break-even volume.
04Start
What we need to start, and what the two weeks look like
Twenty real documents of the kinds you receive, access to the system they should land in, usually one service account with limited rights, and the person who enters them today. Week one, the system reads your twenty documents and you check the result against what that person would have typed. Week two, it goes live on the real inbox with the person reviewing flagged fields. Everything runs in your accounts, in an EU region, and the model vendor does not train on your documents.
