An AI chatbot for a small business in Europe costs from $1,500 as a fixed project, goes live in 1-2 weeks and runs for tens of dollars a month. This guide covers what you get for that money, how the timeline works, what GDPR asks of you and when a chatbot is the wrong tool.
01Definition
What an AI chatbot for business is
An AI chatbot for business is an assistant that answers customers from your own price list, documents and past replies, in the customer's language, and hands the conversation to a person when it is not sure. It lives on your website, in Telegram, WhatsApp or Instagram messages, and it works at two in the morning the same way it works at noon.
The difference from a chatbot with buttons is the reading. A menu bot fails on any question outside its tree. An AI bot reads the question, finds the matching passage in your materials and writes the answer, showing where it came from so it cannot invent a price.
02Price
What an AI chatbot costs in Europe in 2026
There are three price tiers, and the gap between them is integration, not intelligence.
a month for a SaaS bot builder, you assemble it yourself
public vendor pricing
fixed project with us, answers from your documents, live in 1-2 weeks
A&M Flow catalogue
at larger agencies when the bot takes actions across several systems

The build price is paid once. Model usage is paid by you to the vendor at published prices. For a small business answering a few hundred questions a month that is tens of dollars, not hundreds. We write both lines into the quote so there is no second bill later.
03Timeline
Why it takes 1-2 weeks and not three months
A scoped chatbot is small. Week one is your documents and the test set. Week two is the first channel and the handover. Anything that stretches past that is usually not the bot but the integrations around it, the booking calendar, the CRM, the order status.
From your side the project needs about three hours in total. One call to agree the scope, one hour to collect the documents and the questions customers actually ask, and one hour at the end to check the answers against your own expectations.
How the four steps run on our side is described on the home page, and the full scope with price sits on the chatbot service page.
04GDPR
What GDPR asks of a chatbot in the EU
A chatbot is GDPR-compliant when the data stays where you control it, the customer knows what happens to their messages and you can delete a conversation on request. None of that needs a lawyer for a small business, it needs four decisions written into the scope.
Built the right way
- Documents and conversations stored in your own accounts in EU regions
- Model vendor with a no-training clause, or a private model on your server
- A one-line notice in the chat about what the bot does with messages
- Conversation log you can export or delete yourself
Red flags in a quote
- The bot runs in the vendor's account and you get a login
- Nobody can say which country the data is stored in
- Customer messages are used to improve the model
- Deleting a conversation requires a support ticket to the vendor
For legal, medical or financial data the clean answer is a private model on your own server, so nothing leaves your network at all. That is a separate scope, from $8,000 and 3-4 weeks, and it is rarely needed for a shop, a salon or a service company.
05Channels and languages
Website, Telegram, WhatsApp, in two languages at once
One assistant serves every channel you already use. The same documents answer on the website widget, in a Telegram bot and in WhatsApp, and the log of all three lands in one place.
Languages are not an extra. A business in the EU with Russian-speaking and English-speaking customers, plus the local language, gets answers in whichever language the customer writes. We test each language against the same question set before launch, because an answer that is right in English and wrong in Russian is a wrong answer.
06When not to
When a chatbot is the wrong tool
If customers ask fewer than ten questions a week, a good FAQ page and a fast human reply beat any bot. If every question is different and needs judgment, the bot will mostly hand over to a person and you pay for a doorman. If your documents do not exist yet, the first project is writing them, not the bot.
We say this on the first call when it applies. Turning down a $1,500 project costs us less than shipping one that does not get used.
